Quadrant Software, a leading software developer for paperless process management solutions for the System i and Windows enterprises, has announced the availability of version 2.0 of its document management, workflow, and imaging solution IntelliChief.

New IntelliChief enhancements carry on Quadrant Software’s tradition of combining state-of-the-art software with a revolutionary architecture. These powerful features facilitate end-user interaction, creating a dynamic technology tool that is easily implemented and leveraged for productivity, the company says. The list of released enhancements and features include:

Web Services for SOA

Following the trend of robust but open architectures, IntelliChief now provides configurable Web services that can be used to integrate with business applications. Companies deploying SOA-ready solutions or that have Web-based applications can make use of IntelliChief’s Web services for a quicker and easier integration, reducing the total cost of ownership, the company says.

Rubber Stamp Functionality

"Rubber Stamps" can now be set up in IntelliChief to speed up the process of entering commonly used notes such as general ledger number, department names, or notes such as “important,” “approved,” “urgent,” and more. The rubber stamps are fully customizable to each company’s needs and can be controlled via DPP (document processing profile) so that only appropriate stamps are shown for each type of document. Access to Rubber Stamps also can be controlled so that only authorized users can make use of them. When printing, emailing, or faxing a document with a rubber stamp on it, the system allows for sending the document with or without the rubber stamp.

Dynamic Workflow Processing

Workflow, one of the key components of paperless process management, has been revamped to allow the use of more variables and expressions within business rules. This means the workflow environment behaves more like a high level programming language, allowing for a higher number of conditions that can be tailored to work the way users need, and not the other way around. Conditions can be easily defined based on data contained in a document, on user settings, timers, and on users’ response to an event. This dynamic element, of responding to users’ input, makes it behave more like an intelligent business process manager, focusing on the activities that are important for the organization and not just on the documents attached to those processes, the company says.

 

Audit for Jobs and Documents

As documents are captured, managed, and distributed by IntelliChief, the new release 2.0 creates a detailed audit log. Especially useful for customers using IntelliChief in conjunction with Formtastic (for electronic forms or checks processing) and FastFax (the enterprise fax server), system administrators will now be able to pinpoint exactly where the processing of documents failed and take corrective action. For example, if Formtastic or FastFax is unable to file a document into IntelliChief, the audit report will list this request as uncompleted and then the Administrator can track down the reason for the uncompleted request. This new feature helps system administrators solve document-capture and distribution issues more rapidly.

 

Improved Batch Control for High Volume Scanning

Companies scanning high volumes of documents will now have better control over how batches of documents are processed. The use of a Batch Processing Profile (BPP) helps users scan batches of documents and, through barcode recognition, IntelliChief identifies the type of document, the correct scanning settings, main indexes, and the appropriate workflow associated with those documents. The new improvements in batch group management allow for users to verify the status of batches being processed by IntelliChief, regardless of whether they are being scanned by an MFP, imported from a network folder or captured via incoming fax transmission. Users can then see how many pages were processed from each batch, stop one of the batches, and later come back to it and start from the same exact point. New control options for batch processing also help identify batches where documents were scanned incorrectly or that had problems during the scanning process.

 

Enhanced Folder Monitoring

The improvements in batch control are also applicable to folder monitoring, where IntelliChief imports batches of documents located in network folders. Enhancements include barcode recognition for document separation and check-digit verification for improved data accuracy.

 

Index Field Verification

The new version allows for the setup of critical fields, like social security numbers, to be verified after scanning and before the document is uploaded to the system. Users are prompted to re-key the index field in question and the system verifies that it matches the original value entered or captured. Verification can be done immediately upon capturing the document. Additionally, the ability to perform verification via check digits is also available. This allows for better accuracy and faster processing.

 

Miscellaneous Enhancements

Several minor fixes and improvements were applied to this release, such as:
  • Use of Data Classes and Document Classes for Documents: documents being setup in IntelliChief will be associated with a “data class” and “document class” that controls the types of indexes available, security settings, processing profiles, and other various settings. This modification helps system administrators to setup new documents in the system more quickly and with fewer errors.
  • Enhanced Search by Middleware: IntelliChief’s Middleware, the software module that integrates the product with a customer’s business application or ERP, has been enhanced to provide more advanced search queries coming from the System i.
  • Improved Search GUI: several improvements were made to the Windows client-side screen of IntelliChief that now makes it even easier to perform advanced document searches in the system.
Release 2.0 is available immediately and is free of charge to existing customers.
